Documents depend on market, channel and product

There is no single document set. A food-contact kitchen item, a child-safety product and a general hook are regulated differently, and requirements differ between markets and between retail channels. The correct first step is to state the destination market and channel in the request.

Common document families

Typical families requested by buyers include material composition declarations, third-party test reports for the applicable standard, REACH/RoHS-type chemical compliance statements for the EU and similar markets, and food-contact testing for kitchen products. The applicable set is confirmed per project.

Who produces what

Material and supplier declarations are issued by the material supplier or the finished-goods supplier. Third-party test reports are issued by accredited laboratories and are usually arranged to buyer-nominated standards or buyer-nominated labs.

How to specify documents in the RFQ

State: destination market, channel (retail, e-commerce, wholesale), product, and the standard or lab the buyer requires. If you have a document checklist from your compliance team, send it — it is far cheaper to test once at production than to re-test after arrival.

Where responsibility sits

The buyer confirms which documents the market requires; the supplier produces the agreed set and provides the per-order inspection records. Both sides should confirm the document list in writing before the order is placed.

Next Step

Every project is different — MOQ, customization and schedule depend on the product and your market. Send us your product details and we will confirm what applies to you.
